Getting Started with Nextiva Virtual Fax (vFax)
FAQs
Can I send faxes internationally?
No, Nextiva does not support international faxing.
What is Fax Blasting and how do I avoid it?
In Nextiva's Acceptable Use Policy (AUP), “Fax Broadcasting” and “Fax Blasting” shall mean sending the same message by fax to six (6) or more recipients at the same time, one after another, from one username.
To avoid fax blasting:
- Send 5 faxes, confirm receipt, and then send another 5 faxes.
- Or send no more than 1 fax per minute.
What are the consequences of Fax Blasting
- First-time offenders will have their accounts disabled and will receive a copy of our Acceptable Use Policy (AUP). Their account can be re-enabled after speaking with support.
- Repeat offenders may have their accounts canceled due to AUP violations.
What browsers are best to use for faxing?
Recommended browsers:
- Google Chrome
- Microsoft Edge
- Apple Safari
Other browsers may work, but if you encounter issues, please use a recommended browser:
- Internet Explorer
- Mozilla Firefox
- Opera
- Puffin
- Chromium
What is a Fax Bridge?
A Fax Bridge is similar to an Analog Telephone Adapter (ATA device), much like the Cisco SPA192 that we sell for use in our VoIP department. The Fax Bridge translates our FOIP service into analog codecs that can be understood and printed out on traditional fax machines.
This allows customers to use standard fax machines with the Nextiva vFax service. They can choose whether they want the fax machine to send or receive virtual faxes—or both.

Note: The fax bridge must be installed and activated on a Nextiva account in order to work.
Are there limitations to using the Nextiva fax service with a HIPAA account?
Yes. To maintain HIPAA compliance, HIPAA vFax users cannot:
- Send faxes via email. However, users can send faxes from the portal or via a Nextiva Fax Bridge.
- Receive faxes as an attachment via email. Instead, users must log in to the vFax portal to view faxes.
- Forward faxes via email using the forward action in the vFax portal or when sending faxes from the vFax portal.
Is Nextiva Fax PCI Compliant?
Nextiva Fax is HIPAA compliant, but it is not PCI compliant. Our business does not involve card payment processing, so PCI compliance is outside the scope of our services, and our Fax service is not audited for PCI compliance.
Customers will need to assess the risks of our services to determine if they meet their needs. Nextiva can provide its SOC 2 audit reports under NDA.
The fax platform includes several security controls to maintain confidentiality, integrity, availability, and privacy:
- Web communication is over HTTPS/TLS.
- Storage is on an encrypted disk.
- Access to fax information for support purposes requires customer approval.
Are faxes encrypted?
Faxes sent through a fax bridge or the fax portal use encrypted data transfer with 256-bit TLS encryption to keep sensitive information secure.
Faxes sent via email to our fax portal depend on the security of the third-party email server. Most email providers today use some level of encryption.
Can I block numbers from faxing to me?
No, there is no way to block a number from sending a fax.
