Single Sign on (sso)

Set up your company’s SSO platform with the NEXT product. If you already have SSO enabled, you will see options to view and edit the existing configurations.

SSO is an authentication method that allows users to access multiple applications or systems with a single set of login credentials (e.g., one username and password). Instead of needing to log in separately to each platform, users authenticate once through a centralized identity provider, which then grants access to connected systems without requiring repeated logins.

Setup Sso

  1. After accessing the Administrator Settings area, select the Single sign on button in the left-hand navigation bar.

 

  1. From here, select your Identity Provider (IP) from the list. The options listed are the only ones currently available.

 

  1. Follow the steps in the new drop-down window to sync NEXT with your company’s SSO. There will be a number of fields to fill out. Select Save when you are done.

Entra Id

The following fields have to be configured for Entra ID:

  • Client ID: A unique identifier assigned to your application by Entra ID

  • Client secret: A confidential key used by your application to authenticate with Entra ID

  • Tenant ID: A unique identifier for your Entra ID tenant, representing your organization

  • User lookup field: The attribute used to identify and match users between Entra ID and your application. It is recommended to use “preferred_username”.

Google

The following fields have to be configured for Google:

  • Client ID: A unique identifier assigned to your application by Google

  • Client secret: A confidential key used by your application to authenticate with Google

  • User lookup field: The attribute used to identify and match users between Google and your application

Okta

The following fields have to be configured for Okta:

  • Client ID: A unique identifier assigned to your application by Okta

  • Client secret: A confidential key used by your application to authenticate with Okta

  • Authorization URI: The endpoint where users are redirected to authenticate with Okta

  • Token URI: The endpoint used to exchange authorization codes for access tokens

  • JWKS URI: The endpoint providing the JSON Web Key Set for verifying tokens

  • User info URI: The endpoint used to retrieve user profile information

  • User lookup field: The attribute used to identify and match users between Okta and your application

Openid Connect

The following fields have to be configured for OpenID Connect:

  • Metadata URL: This endpoint supplies the OpenID Connect configuration details. When a value is entered in this field, the remaining fields will automatically populate.

  • Client ID: A unique identifier assigned to your application by the OpenID provider

  • Client secret: A confidential key used by your application to authenticate with the OpenID provider

  • Scopes: The permissions requested by your application during authentication

  • User lookup field: The attribute used to identify and match users between the OpenID provider and your application

  • Authorization URI: The endpoint where users are redirected to authenticate with the OpenID provider

  • Token URI: The endpoint used to exchange authorization codes for access tokens

  • JWKS URI: The endpoint providing the JSON Web Key Set for verifying tokens

  • User info URI: The endpoint used to retrieve user profile information

Saml

The following fields have to be configured for SAML:

  • Sign on URL: The endpoint where users are redirected to authenticate with the SAML identity provider

  • Issuer: The unique identifier of the SAML identity provider

  • Signature verification certificate: The certificate used to verify the authenticity of SAML assertions

  • User lookup field: The attribute used to identify and match users between the SAML identity provider and your application

Manage Sso

If your company already has one or more SSO options enabled, you will be able to view, edit, and manage these options within Administrator Settings.

  1. After accessing the Administrator Settings area, select the Single sign on button in the left-hand navigation bar.

 

  1. From here, select the SSO option you would like to view or edit. Ones that are set up will have a blue checkmark next to the logo. When you view the Configuration section below that logo, you will be able to see some of the details for the setup.

     
  2. Select the blue Manage button to edit the SSO, or the Disable SSO button to turn it off. Remember, if you choose to edit or disable it, you are doing it for your entire company.

     
  3. If you choose Manage, you will be able to edit the fields, then select the blue Save button. If you want to disable SSO, you will get a pop up that asks if you would like to disable it or not.

Directory Sync

Set up directory sync with Microsoft Entra ID to connect it with NEXT.

(Directory Synchronization) is a process that connects an organization's directory service, such as Microsoft Active Directory (AD) or Azure AD, to an external system or platform. It ensures that user data (e.g., accounts, roles, and permissions) is consistently and automatically updated between the directory and the connected platform.

  1. After accessing the Administrator Settings area, select the Directory sync button in the left-hand navigation bar.

 

  1. From here, you can edit or add your company’s SCIM endpoint and API key to the Microsoft Entra ID area. If you do not currently have Directory sync set up, you will need to toggle it on and follow the setup instructions.

 

Numbers

Assign phone numbers to individual users or to a Shared Inbox in this area of Administrator Settings. You can also port phone numbers into NEXT from another phone provider.

Accessing the Numbers Area

  1. After accessing the Administrator Settings area, select Numbers in the left-hand navigation bar.

  2. Toggle between the Numbers and Transfer numbers tabs to see those areas.

Numbers Tab

  1. Select the Numbers tab at the top.

  2. Search existing phone numbers using the search bar, download a CSV of all phone numbers, or select Add more numbers.

 

Add Toll-free Numbers and Account Limits

Administrators in NEXT can add toll-free and local numbers directly from the Numbers page. You can add up to 3 toll-free numbers and up to 25 local phone numbers per account.

To Add Toll-free Numbers:

  1. On the Numbers page, select Add numbers or Add more numbers.

  2. In the Add new numbers window:

    • Open the Search number type dropdown and select Toll-free.

    • Use the search field to find available toll-free numbers.

  3. Select one or more toll-free numbers to add.

  4. Select Save (or Buy numbers, depending on your tenant).

  5. The new toll-free numbers will appear in your Numbers list.

Account limits:

  • Each account can have up to 25 local DIDs and 3 toll-free numbers.

  • If you exceed these limits, a message will display, and you won’t be able to add more numbers of that type until one is removed.

Note:

  • Purchasing additional numbers incurs a charge to your company’s account.

  • Toll-free numbers can be assigned to users or Admin groups in the same way as local DIDs.

  • These limits apply at the account level, not per user or group.

Add Local Numbers

  1. Select Add more numbers. A new window will appear.

  2. Search for the area code or phone number you want to purchase. Select Search.

  3. Select the open phone number(s) you want to buy and select Buy numbers.

  4. You now have additional phone numbers on your account that you can assign to employees or an Admin group as needed.

Note:

  • Purchasing additional numbers incurs a charge to your company’s account.

  • Phone numbers aren’t directly tied to Shared Inboxes. Numbers are associated with an Admin group, which connects to Journeys in NEXT Studio.

  • Call routing is managed in NEXT Studio workflows. To learn how to configure routing, see the NEXT Studio – NEXT KBA.

Assign Phone Numbers

  1. Once numbers are purchased, within the Numbers tab, look for any phone numbers listed as Not assigned in blue.

  2. Select the ellipses menu on the right-hand side, then choose Assign number.

  3. A new window will appear. In the Assign to dropdown, choose whether to assign it to a User or an Admin group.

  4. If you choose Admin group, another dropdown will appear asking which Shared Inbox to assign it to. Select one, then select Assign number.

  5. Next, complete the E911 address information. Enter your company’s physical or branch address.

    • You cannot assign the number until the E911 information is completed.

    • If the system suggests a corrected address, select it to save successfully.

Once saved, the number is assigned to the selected user or group.

Note: A single user can have more than one phone number assigned. All assigned numbers will ring the same user and can be used for SMS. Numbers cannot be shared across users.

Update or Unassign Numbers

  • You can unassign a number or update its E911 address anytime using the ellipses menu next to the number.

  • Purchased numbers remain available in your account even if unassigned.

Phone Numbers Assigned to the Default Shared Inbox

The default Shared Inbox must always have at least one phone number assigned.

If the default Shared Inbox has:

  • Only one phone number assigned, that phone number cannot be unassigned.

  • More than one phone number assigned, you can unassign a number as long as at least one phone number remains assigned.

This requirement ensures the default Shared Inbox can continue to handle core call and message routing and prevents service disruption.

If you need to change how a phone number is used, you can:

  • Assign additional phone numbers to other inboxes, or

  • Update routing and workflows as needed.

Transfer Numbers Tab

To port phone numbers into NEXT from another provider:

  1. Select the Transfer numbers tab at the top.

  2. Review the instructions and gather required information (billing, latest phone bill, provider info, and number list).

  3. Select Transfer local numbers or Transfer toll-free numbers, depending on your needs.

  4. A new window will appear. Follow the prompts to complete the transfer process.

Note: Do not cancel your existing phone service until the transfer is complete. Inactive numbers cannot be transferred.

 

Devices

Physical phones and other devices using NEXT are listed here. Once you have physical phones added to your account, they will appear here:

 

You can download a CSV file of the list using the download button in the upper corner. Use the search bar to find a specific phone device, MAC address, or phone number. Edit or view the phones by selecting the ellipses menu to the right on each row.

Add A Device

NEXT Admin now supports adding the first and subsequent devices directly from the Devices page. This removes several manual setup steps that previously required support intervention.

How to Add A Device

  1. Go to Devices located under Account section.

  2. Select Add Device.

  3. Choose the device model.

  4. Enter the device’s MAC address.

  5. Select the User to assign to the device.

  6. Confirm to begin provisioning.

Provisioning and Reboot

After creating the device:

  • Devices may automatically reboot within five minutes.

  • A manual reboot is recommended to ensure the device registers correctly.

  • After the device restarts, it registers with the newly created VoIP credentials and becomes available for use.

Refreshing the Devices page will show the device as Online once registration is complete.

Subsequent devices added to the same tenant skip domain creation but still receive user-specific VoIP credentials and provisioning.

Device Status and User Assignment

The Devices page shows all physical phones connected to your NEXT account. Each device displays its current status and the user assigned to it. Administrators can assign a user to a device or remove a user from a device at any time.

Device Status Indicators

Each device includes an online or offline status indicator. This status helps administrators understand whether a device is registered and able to receive calls.

Status details:

  • A device may take up to 30 seconds to show online in the best case and up to 1.5–3 minutes in the worst case.

  • A device is shown as offline if it is powered off, not connected to the network, or has lost its SIP registration.

  • If NEXT has not received a confirmation from the device management system that the device is online, it will be displayed as offline.

Assigning A User to A Device

To assign a user to a device:

  1. On the Devices page, select the ellipses menu next to the device.

  2. Select Assign user.

  3. Choose the user you want to assign to the device.

  4. Select Save.

The device will update with the assigned user information and receive the appropriate provisioning profile.

Unassigning A User From A Device

To unassign a user from a device:

  1. On the Devices page, select the ellipses menu next to the device.

  2. Select Unassign user.

  3. Select Save to confirm.

When a user is unassigned:

  • Yealink devices remove the user from line 1 immediately. The phone remains provisioned but without a line assignment.

  • Poly devices do not remove the user immediately and may require a reboot or reset for the change to complete.

  • The device’s provisioning profile is removed as part of the unassignment process.

Supported Devices

NEXT supports a limited number of physical devices. For the full list of supported devices, click here.

Note:

  • Each device can have only one user assigned. Multi-user assignment is not supported.

  • Device status and behaviour may vary slightly depending on the device vendor.

Edit A Device

You can edit device settings directly in NEXT to manage configuration without accessing a third-party Device Management System (DMS).

The Edit Device page allows you to update key settings and perform device-level actions.

Access the Edit Device Page

  1. Navigate to Administrator Settings.

  2. Select Devices.

  3. Locate the device you want to modify.

  4. Select the ellipsis menu.

  5. Select Edit device.

The Edit Device page opens.

 

Update Device Settings

On the Edit Device page, you can modify the following settings:

Time Zone

Select the appropriate time zone for the device.
This enables the time zone that displays on the device.

Line Key Label

Update the line key label to reflect the assigned user or function.
This label appears on the first line on the physical device display.

Enable Device for Shared Inbox Calls

Turn this setting on or off to control whether the device can receive shared inbox calls when not signed into web/mobile.

  • When enabled, the device can ring for shared inbox calls.

  • When disabled, shared inbox calls will not ring on this device unless the user is signed into web or mobile.

Important: This setting is required for device-only users who want to receive shared inbox calls.

Reboot A Device

Select Reboot to restart the device.

Use this option when:

  • Configuration changes need to be applied.

  • The device is not responding correctly.

Rebooting does not erase device settings.

Factory Reset A Device

Select Factory reset to restore the device to its default settings.

Use this option only when necessary, such as:

  • Reassigning the device to a different user.

  • Resolving persistent configuration issues.

A factory reset erases all device-level settings.

Important:

  • Some changes may require a reboot to take effect.

Shared Inbox Voicemails on Devices

Desk phones now support Shared Inbox voicemail playback. Previously, Shared Inbox voicemail was only available on the web or mobile.

How It Works

  • When a voicemail is assigned to a Shared Inbox, the desk phone rings to notify the agent.

  • The agent can answer and listen to the voicemail directly on the phone.

  • Voicemail tickets auto-close when answered on the device, the same way voice call tickets behave.

This update ensures desk phone-only users have full access to Shared Inbox voicemail workflows.

Acd State Soft Keys on Desk Phones

ACD state changes for Shared Inbox call handling are now available through device soft keys. This improves usability for agents using desk phones exclusively.

  • Sign-in, sign-out, available, and unavailable state changes are now accessible through on-screen soft keys.

  • The device receives real-time state notifications, keeping the agent aware of their availability.

  • The experience aligns with web and mobile behaviour for Shared Inbox participation.
