Overview

Use this guide to install and connect the Outlook Calendar integration from the NEXT Marketplace.

The Outlook Calendar integration gives Xbert AI Employees direct access to your Microsoft calendar. AI Employees can check free time slots, create new appointments, and retrieve existing meetings automating scheduling tasks without manual intervention and keeping your calendar accurate in real time.

Note: An Outlook Calendar account is required to use this integration. The Outlook Calendar integration is compatible with Xbert AI only.

Before You Begin

Ensure the following:

  • You have an active Microsoft account with access to Outlook Calendar.

  • You know your Microsoft account type personal, work/school, or tenant-specific.

  • If using Consumer or Tenant-specific account types, you have your Client ID and Client secret available.

  • You have permission to install apps in the NEXT Marketplace.

Install Outlook Calendar in NEXT

Step 1: Open the App in Marketplace

  1. Select App marketplace in the left navigation.

  2. Select Outlook Calendar.

  3. Select Install.

 

You will see a confirmation screen titled:

  1. Select the checkbox to accept the Terms and Privacy Policy.

  2. Select Next.

 

Step 2: Connect

On the Connect screen, complete the following fields:

 

Connection account type

Select the account type that matches your Microsoft account. The field defaults to Common.

Common

Personal, enterprise, or multi-tenant accounts that are not tenant-specific

Tenant-specific

Accounts that require a specific Tenant ID or Domain

Consumer

Personal Microsoft accounts — requires Client ID and Client secret

Organization

Work or school accounts

 
 
 

Note: The Consumer account type requires a Client ID and Client secret. The Tenant-specific option requires a Tenant ID/Domain to be provided.

Authentication type

Defaults to Authorization code grant. Leave this as is for most setups.

If you are using a Tenant-specific account and need to authenticate without user interaction, select Client credentials grant instead. This option requires you to provide a Client ID and Client secret, and the registered app must have sufficient permissions in Azure.

Advanced settings — Requested permissions (OAuth Scopes)

Select the permissions required for the Outlook Calendar integration. The following scopes are recommended:

  • Calendars.Read

  • Calendars.ReadWrite

  • Calendars.Read.Shared

  • Calendars.ReadWrite.Shared

To add a scope, select the Requested permissions (OAuth Scopes) field and choose the permissions from the list.

Note: User.Read and offline_access are always requested in addition to the selected permissions and cannot be removed.

Custom OAuth profile

Leave this set to No items unless your organization uses a custom OAuth profile. If required, select an existing profile or create a new one using the links provided on screen.

Sign in with Microsoft

Once all fields are configured, select Sign in with Microsoft and complete the Microsoft authentication flow in the browser window that opens. After successful sign-in, select Next.

Installation Complete

If the authentication is successful, you will see the Review screen confirming the installation is complete.

Select:

  • Done to exit, or

  • Manage apps to review the integration.

Verify the Connection

After installation:

  1. Select App marketplace in the left navigation, then select Manage apps.

  2. Select Outlook Calendar.

  3. Confirm the status shows Active.

  4. Initiate a test interaction in NEXT that involves an Outlook Calendar scheduling action.

  5. Confirm the appointment or availability data appears correctly.

Troubleshooting

Sign in with Microsoft fails

  • Confirm you are signing in with the correct Microsoft account.

  • If using Consumer or Tenant-specific account types, verify the Client ID and Client secret are accurate.

  • Ensure the account has access to Outlook Calendar and the required calendar permissions.

Insufficient permissions error

  • Verify the OAuth scopes include Calendars.Read, Calendars.ReadWrite, Calendars.Read.Shared, and Calendars.ReadWrite.Shared.

  • If additional scopes are needed, add them under Advanced settings before reconnecting.

Integration status not showing Active

  • Return to App marketplace → Manage apps and check if the connection shows an error state.

  • Select Outlook Calendar and sign in with Microsoft again.

  • Reconnect the integration.

Appointments or availability not syncing

  • Confirm the signed-in Microsoft account has access to the relevant calendars.

  • If shared calendars are not syncing, verify Calendars.Read.Shared and Calendars.ReadWrite.Shared scopes are included.

  • Reconnect the integration if necessary.
