XBert AI - Configure Holiday Schedules

Before you begin

You must have Administrator rights in XBert to create and manage schedules. If you do not have Administrator rights, you will not see the Schedules area in Administrator Settings.

Step 1 — Create a holiday schedule

  1. Log in to XBert and select the gear icon in the bottom left corner to open Administrator Settings.

  2. In the left navigation bar, select Schedules.

  3. Select the Create schedule button in the upper right corner.

  4. In the new window, enter:

    • Schedule name — use a clear, descriptive name such as "Thanksgiving 2025" or "Holiday Closure."

    • Schedule type — select Holiday hours from the dropdown.

    • Description — optionally add a note describing the purpose of this schedule.

  5. Select Add holiday.

  6. In the Add holiday window:

    • Select Specific date(s) to add individual holiday dates, or check Select a date range to cover a range of consecutive days, such as a multi-day holiday closure.

    • Use the Select date field to choose the date or dates for this holiday.

    • Select Add.

  7. Repeat steps 5–6 for each additional holiday you want to include in this schedule.

  8. Select Save.

Your holiday schedule will now appear in the Schedules list and will be available to select in the Workflow, Live Chat or AI Employee.

Note: The time zone for your schedule is based on the time zone selected by the Administrator who originally set up your Xbert AI account.

Schedule naming requirements

Schedule names cannot include the following characters: spaces or any of these symbols: " ! # % & ' ( ) * + , - . / ; : < = > ? @ [ \ ] ^ { | } ~

Schedule names also cannot begin with a number.

Note: The time zone for your schedule is based on the time zone selected by the Administrator who set up your XBert AI account.

Step 2 — Apply the holiday schedule in your Workflow

Once your holiday schedule is created, apply it to your call routing workflow.

  1. In Administrator Settings, under the Channels section, select Calling.

  2. Locate the inbound phone number you want to configure and select Edit to open the workflow

  3. In the workflow canvas, locate the Business hours component at the beginning of the workflow, or add a new one as the first step. The Business hours component is typically placed at the start of a workflow to ensure all incoming calls are evaluated against your schedule before any other routing logic runs.  For more instructions on how to customize your workflow, click here.

  4. In the configuration panel:

    • Under Business Hours Schedule (When You're Open), select your standard business hours schedule.

    • Under Holidays Schedule (When You're Closed), select the holiday schedule you just created.

  5. Enable I want to create a new path to route holidays to define what happens to calls during the holiday closure. You can route calls to:

    • Voicemail

    • A specific user

    • Another Shared Inbox

    • A recorded message

  6. Select Save.

How holiday schedules work

  • Holiday schedules take priority over standard business hours and after-hours routing. If a time period in a holiday schedule overlaps with your regular business hours, the holiday routing path is used.

  • All schedules created in Administrator Settings automatically appear in the Business Hours component in the Workflow. There is no additional step to make a schedule available.

  • Any changes you make to a holiday schedule in Administrator Settings are reflected automatically in the Workflow.

Managing your holiday schedule

Edit a holiday schedule

  1. In Administrator Settings, select Schedules.

  2. Select the name of the schedule you want to edit, or select the ellipses menu and choose Edit schedule.

  3. Make your changes and select Save.

Delete a holiday schedule

  1. In Administrator Settings, select Schedules.

  2. Select the ellipses menu next to the schedule and choose Delete schedule.

  3. Select Delete to confirm.

Note: Before deleting a holiday schedule, check its Assignments to see if it is currently used in any workflows. Deleting a schedule that is actively assigned in a Workflow may affect call routing.
