Accessing the Mobile App

The Nextiva mobile app is another way to use the features NEXT web browser has to offer. The mobile app is similar, with many of the same features.

  1. Download the Nextiva mobile app via the Google Play Store or the Apple App Store on your mobile phone. Search for “Nextiva”.

  2. Once downloaded, access the Nextiva app from your cell phone.

  3. Log in using the same username (email) and password you use for the web application.

    • Your login information was first emailed to you from no-reply@nextiva.com. This email is triggered when a user is created in NEXT by your company’s administrator.

Login screenEnter your email and password screen

Along the bottom of the app, you will see the menu options. These appear in almost every area of the mobile app. You can learn more about each area of the mobile app in the sections below.

When you select the More button, you will see additional menu options appear:

Homepage

Once you log into the app, you will land on the Homepage.

The Homepage provides a quick view and even faster access to important areas within NEXT, including the Shared Inbox and My hub spaces. From here you have a quick view of the My hub, Shared inbox, and My tickets areas. Select any of these widgets to go directly to that area within the app.

Shared Inbox

The Shared Inbox view gives you access to shared inbox(es) to conduct business with customers and internal employees. Think of it as your company’s ticketing system, where you can track all interactions Agents have with customers in one place. You may be assigned to more than one shared inbox and may have certain settings enabled as an Agent that allow you to accept incoming calls, SMS, emails, live chats, or social media interactions from customers (or a variation of those).

Switch your Shared inbox view by tapping the All Inboxes drop-down at the top of the screen. A new menu will appear where you can select a specific inbox:

Scroll through the tickets, selecting any that you want to view in more detail. If it is still an active ticket (not closed or archived), you can respond back to the customer via a call, SMS, live chat, email, or social media interaction:

Omnichannel View

The Shared Inbox on mobile now supports all customer conversations across email, SMS, live chat, social media, voice, and reviews in one unified view.

This enhancement lets you manage every channel without switching between separate inboxes or screens. Each message clearly shows its originating channel so you can identify and respond through the same source.

  • Messages from all supported channels now appear together in the Shared Inbox.

  • Each conversation displays a channel icon (such as Email, SMS, Chat, or Voice) to show where it originated.

  • You can reply to customers using their preferred communication channel, as indicated in the message.

How to Use It

  1. Select Shared Inbox from the menu.

  2. View all conversations from every channel in one list.

  3. Tap any conversation to open it.

  4. Review the channel indicator at the top of the thread.

  5. Reply directly from the same channel (for example, reply to a chat message using chat).

Tip: When a customer mentions a preferred contact method, the system automatically selects that channel for your reply.

Example

If a customer sends a message through social media and later calls your business, both interactions appear in the same thread in the Shared Inbox. You can review the full conversation history and choose the appropriate reply channel.

Android Notification Behavior for Shared Inbox

On Android devices, Shared Inbox notifications appear as system notifications even when the NEXT mobile app is in the background or closed.

This ensures that agents receive Shared Inbox alerts reliably and can respond promptly without needing to keep the app open.

Note: This behavior applies to Android devices only. Make sure notifications are enabled for the NEXT app in your device settings.

Filters in Shared Inbox

Filter your tickets to find them quickly. Filter by date, ticket status, assignee, and sources (calls, live chat, email, social, SMS):

Group SMS in Shared Inbox

The Shared Inbox supports group SMS conversations. You can include multiple participants in a single SMS thread, making it easier to manage collaborative customer interactions in one place.

  • Group SMS threads appear alongside your other Shared Inbox conversations.

  • All participants in the thread are visible in the thread header.

  • You can reply to the group directly from within the thread.

My Hub

Use My hub as your personal inbox to manage your inbound/outbound communications with both internal users and external users. My hub is intended to increase Agents' productivity, show personalized Agent-to-customer interactions, and be a place for Agent-to-Agent collaboration. It has all of your calls, SMS, and internal Collaboration messages in one place.

Send a Message

Send a message to a coworker or a contact using My hub.

  1. Select My hub, then select the blue pencil and paper icon.

  2. Select the Search box. Type in the phone number or the name of the person you want to message, or click on their name in the list. If they are a customer, and you send them a message it will be sent as an SMS. If you are sending a message to a colleague, it will come through as an internal chat message.

  3. Select the Send a new message box:

  4. Select the Write your message… box and begin typing your message. You can add photos, attachments, or take a photo.

  5. Select the blue Send button.

  6. Continue messaging back and forth as needed.

Send a Message Using an Alternate Number

If you have more than one phone number assigned, you can choose which number to use when sending a message.

  1. Select My hub.

  2. Select the pencil and paper icon to start a new message.

  3. In the composer, select the From field above the text box.

  4. Choose the number you want to send the message from.

  5. Type your message, then select Send.

The app remembers the last number you used with a contact. When you message that person again, it uses that number by default.

Tip: If you have only one assigned number, the From field does not appear.

Format Messages Using Rich Text

When composing a message in My Hub, you can format your text using rich text options to make messages clearer and easier to read.

Supported Formatting

You can apply formatting to all or part of a message:

  • Bold

  • Italics

  • Underline (if supported)

  • Ordered lists (numbered)

  • Unordered lists (bulleted)

Formatting can be applied to selected text. You do not need to format the entire message.

To format a message

  1. In My Hub, open or start a conversation.

  2. Tap the message field. The full-screen composer opens.

  3. Type your message, then select the text you want to format. The formatting toolbar appears above the keyboard.

  4. Use the toolbar to apply any of the following:

    • Font — choose from Arial, Times New Roman, Lato, or Georgia

    • Font weight — choose from Extra Large, Large, Medium, or Small

    • Bold, Italic, or Underline — apply emphasis to selected text

    • Color — choose from the preset color swatches. Swipe the toolbar horizontally to see more colors

    • Alignment — align text to the left, center, or right

    • Add link — tap the link icon, enter a URL, and tap Add

  5. Once you are done formatting, tap Save to send the message.

Note: The toolbar is contextual; it appears only when text is selected and is dismissed automatically when no text is selected.

View SMS Delivery Status

Each SMS you send now includes a small status indicator below the message bubble. These indicators confirm when the message is successfully sent, delivered, read, or if it fails to send.

Status meanings

  • Sending… The message is currently being processed and has not yet reached the network.

  • Sent The message has successfully left the device and was accepted by the carrier.

  • Delivered The message reached the customer’s device. This confirms delivery but not that it has been read.

  • Failed to send. Try again The message did not send due to a network or system issue. Tap Try again to resend.

Tip: Delivery and read indicators are only shown for SMS messages sent to external contacts. Internal chats and live messages between agents do not display delivery statuses.

Manage Messages (Internal Conversations)

You can now manage your messages in My hub by using the ⋯ menu that appears when you touch and hold any message.
From this menu, you can delete or forward a message to another agent, group, or channel.

Delete a Message

You can delete messages you sent in internal conversations, including 1:1 chats, group chats, and channels.

Note: You can only delete your own messages. You cannot delete messages sent by other people.

  1. Open the internal conversation in My hub.

  2. Touch and hold the message you sent, or select ⋯ next to it.

  3. Select Delete message.

  4. Select Delete again to confirm.

What others see

  • Other participants do not see the deleted message. There is no placeholder, timestamp, or deletion notice.

  • Only you see a small Message deleted indicator where the message used to be.

How it behaves

  • Deletion is immediate and permanent.

  • The message is removed from all synced devices once deletion completes (iOS, Android, Web).

  • If you are offline, the deletion is queued and completes automatically when you reconnect.

  • If someone replied to your message before you deleted it, their reply stays visible.
Any preview of your deleted message may still appear inside their reply preview.
Selecting that preview shows a notice that the message was deleted.

To Edit a Sent Message

  1. In My Hub, open the conversation containing the message.

  2. Touch and hold the message you want to edit.

  3. Tap Edit.

  4. Make your changes in the text field.

  5. Tap Save to update the message.

See When Others Are Typing

In internal conversations, you can see when other participants are actively typing. This helps you understand when a response is coming and avoid sending unnecessary follow-up messages.

How Typing Indicators Work

  • When someone starts typing, a typing indicator appears in the conversation.

  • The indicator updates in real time as participants start or stop typing.

Typing indicator behavior

The typing indicator adjusts based on how many participants are typing:

  • One user typing
Displays that user’s avatar with a typing indicator.

  • Two users typing
Displays both users’ avatars with a typing indicator.

  • Three users typing
Displays all three users’ avatars with a typing indicator.

  • More than three users are typing
Displays the first two users’ avatars followed by a “+X others” typing indicator.

Notes

  • Typing indicators are shown only in internal conversations.

  • Typing indicators update dynamically and disappear when users stop typing.

  • This feature is informational only and does not affect message delivery.

Message Drafts Are Preserved

When composing a message in the NEXT mobile app, your draft is preserved in more scenarios to prevent accidental loss.

Draft messages are retained when:

  • You receive a push notification while typing.

  • You tap a notification and switch conversations.

  • You navigate away from the conversation and return later.

This applies to both iOS and Android devices.

If a draft was interrupted by a notification or app navigation, the message remains available when you return to the conversation.

Forward a Message

You can forward any internal message you sent or received to another agent, group, or channel.

  1. Open the internal conversation in My hub.

  2. Touch and hold the message you want to forward, or select ⋯ next to it.

  3. Select Forward message.

  4. Search for the agent, group, or channel.

  5. Add an optional comment if needed.

  6. Select Send.

What others see

  • The forwarded message appears in the new conversation with a Forwarded message label.

  • The sender’s name and timestamp from the original message display under that label.

  • Recipients can read but not edit forwarded messages.

Tips:

  • You can forward messages that include attachments, images, or links.

  • Message reactions are not forwarded.

  • Forwarding is only available for internal conversations, not customer messages or SMS threads.

Attach and Preview Multimedia Files

You can now attach and send multiple media files such as images, videos, or audio files at the same time through the message composer.

Attach Media

  1. Select My hub, then open or start a conversation.

  4. Review the selected files in the attachment preview area before sending.

  5. Select Send to share the files.

You can attach up to 25 MB of total media per message.

If you select an unsupported file type, the app will show an inline error message.

After attaching files, you can view them directly in the conversation without downloading.

  • Grid view: When multiple media items are sent together, they appear in a grid preview inside the chat.

  • Fullscreen view: Tap any image or video to open it in fullscreen. Pinch to zoom or swipe between files.

  • Audio files: Audio messages appear as an inline audio card with playback controls.

  • Video files: Videos can be played in-line or expanded to fullscreen.

Tip: You can continue chatting while media files upload in the background.

Download Attachments

You can download individual attachments or all attachments from a message to your device.

Download a Single Attachment

  • Select the attachment to open it.

  • Select Download, or touch and hold the attachment to open the menu, then select Download.

The file downloads to your device in the background.

Download all attachments

When a message contains more than one attachment, a Download All option appears in the message header or attachment viewer.

  • Select Download All to download every attachment from the message at once.

  • All files download in the background with a single progress indicator.

  • When the download completes, a success message appears.

Note:

  • Download All appears only when multiple attachments are present.

  • Individual attachments can still be downloaded separately.

  • Downloads continue even if you navigate away from the conversation.

Receive Media

Recipients can view and play received files directly within the chat.
Media sent and received are stored securely in the conversation thread and there is no need to download them separately unless you want a local copy.
