NextivaONE - Video calling and Screen Sharing

Start a 1:1 Video Call

  1. Click contacts on the right-hand side of the NextivaONE window.

  2. Search for and click on a contact.

  3. Click View Full Profile in the upper left-hand corner of the communication feed.

  4. Click the video icon under their profile.

  5. Confirm your audio and video settings.

  6. Click Start now.
     
  7. Your teammate will receive an invite to a video meeting.
     

Start a Group Video Call

  1. In the top left-hand corner of the Room or Conversation window click either View Room details for Rooms or View group details for Conversations.

  2. Click the Video Call icon.

  3. Other members of the Room or Conversation will immediately receive a call pop invite to join the meeting.
     
  4. Confirm your audio and video settings in the window that appears and click Start now.

Hosts and Co-Hosts

Hosts and co-hosts have the ability to mute all participants, turn off videos, lock the meeting, and control screen sharing.

Assign Co-host

From the participants menu, you can assign co-hosts to the meeting. To do this:

  1. Click the vertical ellipses next to the participant’s name.

  2. Click Assign Co-host

Unassign Co-host

To remove co-host permissions:

  1. Click the vertical ellipses next to the participant’s name.

  2. Click Unassign co-host.

Host Settings

The host settings allow the host of a meeting to control various aspects of a meeting. These can be accessed through the more options button on the meeting controls:

  1. In the meeting control panel, click the more ellipses.

  2. Click Meeting settings.

  3. Select Host settings on the left-hand side.

  4. Update the desired meeting settings.  The changes are automatically applied.

General
 

  • Allow only hosts and co-hosts to invite participants - Will remove the invite option for any participant that is not the host or a co-host of the meeting.
     
  • Turn off screen sharing - Disables the ability for participants to share their screen.  Only hosts and co-hosts will be able to share their screen.
     
  • Lock the meeting - Only allow invited members into the meeting, guests will be disconnected.
     

Participant video and audio
 

  • Mute all participants - Mutes all participants, except dial-in users. Participants will NOT be able to unmute themselves.
     
  • Turn off video for all participants - Turns off video for all participants, they will NOT be able to enable their video.
     
  • Allow regular participants to mute other participants - Lets any participant mute others, particpants muted by this method can unmute themselves.
     

Guest Requests

Control who can admit new guests to the meeting.
 

  • Allow only host/co-host to accept guests - Only the host or co-host can accept guests into the meeting.
     
  • All all teammates to accept guests - Any invited teammate in the meeting can accept guests into the meeting.
     
  • Automaically accept guests - All guests are automatically admitted to the meeting.
     

Participants

During a video meeting, click the Participants button to open a side panel that shows the participants that are currently on the call, plus those who have left.

Host Marker

The host or co-host will have a yellow icon next to their name indicating they are the host of the meeting.

Muting Participants

  • The host can mute individual participants or all participants on a call.
     
  • Currently, only participants who are using the NextivaONE app can be muted, dial-in participants cannot be muted.

Mute Individuals

Individuals can be muted by clicking the microphone icon next to their name.

Mute all participants

  1. Click the Mute All button at the bottom of the participants window.

  2. Click the blue Yes button in the pop-up that appears.

Invite New Participants

Any current participant can invite new participants can be invited to an ongoing meeting; however, the host or co-host will have to admit them into the meeting.
 

  1. Click the more options ellipses in the meeting control options.
     
  2. Select the Invite option.  Alternatively, you can click the Invite option in the participants tab.

  3. Enter the name of a teammate, a business contact, or the email address of the person you wish to invite.  You can also copy and paste the join link to share it.
     
  4. Teammates will receive an invite within the NextivaONE application.
     
  5. Business contacts and Guests will receive an email.

  6. When a guest user clicks the link they will be prompted to enter their name to join the meeting.

Dialing In

  • When creating a meeting, the dial-in information is displayed in the meeting settings and the invite.
     
  • Once a meeting has started, dial-in information can be found by inviting new participants to the meeting.
     
  1. While in a meeting click the … button on the control bar.

  2. Select Invite.

  3. The dial-in information will be displayed on the screen.

Admitting Guests to a Meeting

When a guest attempts to join a meeting that requires either a host or teammate to accept guests, those with guest access permissions will be presented with an option to Accept or Deny the request. The host can adjust guest access permissions in the host settings.

This information will also be present in the Participants list.

If accepted a guest will be directed to a lobby where they can configure their audio and video devices before joining the meeting.
 


Disable Video

Currently, video can only be disabled for all participants. A host is unable to disable individual participants' videos.
 

  1. Click the Video Off button at the bottom of the participants' window.

  2. Click the blue Yes button in the pop-up that appears.

Recording a Meeting

Meetings can be recorded by hosts and co-hosts.  Use the sections below to start and stop recordings.  For more information about call recording, see the NextivaONE - Meeting Recording FAQs page.
 

Start Recording

  1. As a host or co-host click the more options ellipses in the meeting controls.
     
  2. Select the Record option.

  3. In the confirmation window that appears, click the blue Record button.

  4. The recording will start and a notice will appear on all participants screens indicating the meeting is now being recorded.

  5. If the meeting runs longer than 3 hours, a popup will appear asking if you wish to continue recording.  Clicking Continue recording will start a new recording file, otherwise, the recording will stop after 3 hours.

Stop Recording

To stop recording a meeting:

  1. Click the more options ellipses in the meeting controls.
     
  2. Select Stop Recording.
     
  3. A notification will appear indicating the recording has stopped and that you will be notified when the file is ready.

Screen Sharing

Starting Screen Share

Any participant in a video call or meeting can share their screen as long as no screen sharing is currently happening. Any user who is currently sharing must turn off their share before another user can share.
 

  1. Click the Share Screen button on the control bar.

  2. In the pop-up that appears, use the tabs at the top to select between sharing an entire screen or sharing a specific application.

  3. Click on the screen or application to share.

  4. Scroll down and click Share.

Stop Sharing

To stop screen sharing click the share button while sharing your screen.

Controls

During a video call, a control panel appears at the bottom of the screen.

IconDescription
image.pngAllows you to toggle between speaker view and gallery view. Speaker view will bring whoever is speaking to the main part of the screen, including you.

image.pngEnable or disable your camera.

Starts screen sharing.

NOTE: Only one participant can share their screen at a time. If another person is sharing, you will have to wait until they have ended their session to start a new screen share session.

image.pngEnd or leave the meeting.
image.pngOpen the participants' window, allowing you to see all your teammates that have joined.
image.pngSend chat messages to other participants in the meeting.  Dial-in participants are unable to use this feature.
