NextivaONE - User Settings

To access your settings within the NextivaONE application, click your initials in the upper right-hand corner and click My Settings.  From there, you can access and manage many of your user settings.

 

 

Profile

The profile is the portion of the account that allows a user to see their name, time zone, email address, and phone number(s) associated with the user.

The name, time zone, and email can be updated by typing in new information and clicking Save at the bottom of the screen.

NOTE: Changing the email address will also update the username.


 

Calls

The calls section allows the user to control their personal voice settings. To access the settings, hover over Calls, then click on the setting to make changes.
 


 

Voicemail

In the voicemail section, the user can set or record a new voicemail greeting, set the number of rings direct callers will hear before going to voicemail, reset their voicemail PIN, and enable voicemail to email.

It is important to note the number of rings will only affect callers who dial the user directly and will not change inbound calls from a team or call center.

Advanced Settings

Advanced settings allow users to control additional features for their mailbox.

Which calls go to voicemail: This allows the user to control when direct calls go to their voicemail box.
Alternate busy greeting: This allows the user to have a different greeting play when their line is busy. A busy greeting will play when Do Not Disturb (DND) is enabled or a call is rejected.
Voicemail Storage: This allows the user to control if messages are stored on the Nextiva servers or not. NOTE: If messages are not stored on the Nextiva server, voicemail transcription features will not work. You will also need to enable voicemail to email, otherwise, the messages will be lost.
Voicemail Recording: This allows the user to control if the email notifications they receive about a voicemail being left will include an audio copy of the message.
Transfer on "0": This option allows a user to press 0 during the greeting to be transferred to an extension or phone number instead of going to the mailbox.
Disable message options: This will disable the ability to leave a voicemail in the mailbox. A caller will hear the greeting, then the system will disconnect their call.


 

Phone

The phone section allows users to see the device assigned as their primary device. This information can only be changed by an administrator.

Mobility

Users can control settings that would let them receive calls to other phone numbers, such as their cell phone.

Nextiva Anywhere


Nextiva Anywhere allows outside phone numbers to ring whenever the desk phone rings. For more information on how this works and the configuration, see Nextiva Anywhere.
 

Remote Office


Remote Office works similarly to Nextiva Anywhere but allows only a single phone to act as the remote phone. Unlike Nextiva Anywhere, it does require the use of our app to make outbound calls.
 

Simultaneous Ring

Users can assign up to 10 additional phones to ring when their line rings. Unlike Nextiva Anywhere or Remote Office, this function only works for calls directly to the user.  Calls from a call center or a team will NOT ring the additional numbers.
 


 

Forwarding

Users can forward direct calls to another extension or phone number.

Call Routing

Call routing allows a user to control various features, such as call waiting and do not disturb.

Call Waiting: Call waiting allows for your line to ring even if you are already on a call. With this enabled, each user can have up to three active calls to their extension before it is considered busy.

Do Not Disturb: Do Not Disturb (DND) automatically sets the line to busy and will direct all calls to the voicemail box, playing the busy greeting in the voicemail box. This behavior can be changed with call forwarding.

Anonymous call rejection: Reject callers that have a private or anonymous listing instead of a proper caller ID. The caller will receive a message stating that the person they are calling is not accepting calls from blocked numbers before the call disconnects.

 


 

Outgoing Calls

Adjust your outbound call appearance.

Block my caller ID: The user's phone number and caller ID to display as Private when calling out.
Automatic call back: If enabled, any outbound call that reaches a busy tone will be automatically retried by the Nextiva system until the call goes through. The user will be alerted when the call successfully connects.


 

Emergency Location

Allows users to control the address emergency responders will receive when 911 is dialed. To use an address outside the main location, a direct dial phone number must be assigned.
 


 

Call Center

This requires additional licensing.

Agent Settings: Call center agents can control their queue status (ACD state), and outbound phone number (requires additional configuration at the call center level).
Supervisor Dashboard: This requires an additional license. If the user is a call center supervisor, this will launch a dashboard for them to monitor the call centers and agents assigned to them.
Queue status: This section allows the agent, when permitted, to join or unjoin specific call centers.
 


 

Conferencing

Conferencing allows a user to view their conference room information. Users can have multiple conference rooms assigned to them.
