Hoteling
What is Hoteling?
Hoteling is a feature typically used for employees who are required to share use of a single device. While all users can guest into a phone, the user for a host phone requires an Enterprise, Ultimate, Core, Engage, or Power Suite/Power Suite CX license.
NOTE: Hoteling does not work with a device assigned as a Shared Call Appearance. Guests can only hotel into a user's primary device.
How it Works
A user guests into a host line, and while they are guested in, they can use the device as their own.
Inbound Phone Calls: All inbound phone calls for the Hoteling guest will be redirected to the host device for a specified amount of time. While a guest is using the device, the host's line for that device will not ring.
Outbound Phone Calls: The Hoteling guest will be able to make outbound phone calls from the host device as if they were using their own phone with all included features, including Voicemail and notifications, call recording, Caller ID information, etc.
Limits can be placed on how long a guest can stay signed into a host's phone.
Signing Into Another Phone
- Go to the host phone.
- Press the Sign-In button.
- If the Sign-In button is not present on the phone, contact Nextiva Support to add it.
- If the Sign-In button is not present on the phone, contact Nextiva Support to add it.
- Enter the login information
- Username - the extension of the guest.
- Password - the voicemail PIN of the guest.
- Username - the extension of the guest.
- Press OK.
Configuring Hoteling
Hoteling Host

- Log in to the voice portal as an administrator.
- Hover over Users at the top of the page and click on Manage Users.
- Click on the user to configure.
- Scroll down and click on Routing to expand that section.
- Click on Hoteling Host to expand the section and adjust the settings.
- Enforce association limit X hours - Allows a limit to be set for how long a guest can use the phone.
- Access level - Control what users can guest into the phone. Enterprise allows all users on the account to guest in. Location allows only users on the same location to guest in.
- Enforce association limit X hours - Allows a limit to be set for how long a guest can use the phone.
- Click Save.
- Use the Off/On toggle to enable or disable.
Hoteling Guest
- Log in to the voice portal as an administrator.
- Hover over Users at the top of the page and click on Manage Users.
- Click on the user to configure.
- Scroll down and click on Routing to expand that section.
- Next to Hoteling Guest, click the OFF/ON button to enable or disable the feature.
- To manage guest association, click on Hoteling Guest to expand the section.
- You can set a limit for how long a user can guest into a host device. By default, this is enabled and set to 12 hours.
- To remove the limit, uncheck the box next to Limit association to ___ hours.
- To change the time of the limit, update the box to a new value in hours.
- If the user is NOT guested into a host phone, you can see a list of users they can guest into. Clicking on a name will move the available host into the assigned column.
- If the user is guested into a host phone, you can see the host user listed under assigned hosts. The available hosts list will be greyed out. Clicking on the name will move the assigned host back to the available column.
- Click Save to apply the new settings.
NOTE: If the user is on a call, they will not be signed out of the host phone until the call is over.
